STEPOLOGY Retreat 2027 — Terms & Conditions

1. Overview
These terms and conditions govern your reservation and participation in the STEPOLOGY Retreat 2027, sailing aboard Virgin Voyages' Scarlet Lady, April 12–17, 2027. By submitting a deposit, you agree to the terms outlined below in full. Please read carefully before reserving.
2. Payment & Booking
All payments are made directly to STEPOLOGY. We coordinate with Virgin Voyages and all necessary parties on your behalf. You will not be asked to pay in multiple places or manage separate transactions. One platform, one team, one experience.
A $200 deposit per sailor reserves your cabin aboard the Scarlet Lady. Your deposit is submitted through our booking platform at the time of sign-up, along with your cabin and sailor details. Once your deposit is processed, you will receive a confirmation from the STEPOLOGY team.
Your remaining balance is due in full by January 30, 2027. Payments may be made in installments on your own schedule provided the full balance is cleared by that date. Failure to pay the balance in full by January 30, 2027 will result in forfeiture of your cabin and deposit. STEPOLOGY will provide 7 days written notice via email before forfeiture is enacted, during which time the sailor may cure the default by submitting payment in full.
You will receive two booking confirmations — one from STEPOLOGY confirming your retreat reservation, and one from Virgin Voyages confirming your cabin aboard the Scarlet Lady. Both should be saved as your official records. If you have not received both confirmations within 5 business days of your deposit clearing, contact us at yo@stepologyofficial.com.
3. Roommate Matching & Partial Deposits
Double-occupancy cabins require a $200 deposit per sailor ($400 total) to be considered fully reserved. If only one sailor has submitted a deposit for a shared cabin, that cabin is not guaranteed and remains in pending status until the second deposit is received.
Sailors who submit a single deposit without a confirmed roommate will be placed in the STEPOLOGY roommate matching pool. A match will be confirmed no later than 60 days prior to sailing (February 11, 2027). If no suitable match is identified by that date, the sailor will have the following options:
- Upgrade to single occupancy and pay the difference in fare
- Transfer their deposit to a future STEPOLOGY retreat (one transfer permitted)
- Forfeit their deposit in accordance with the non-refundable deposit policy below
STEPOLOGY will make every reasonable effort to facilitate a match but does not guarantee one. Deposits are non-refundable regardless of match outcome. By submitting a deposit, sailors in the matching pool acknowledge and accept these terms.
4. Cancellation & Refund Policy
Deposits are non-refundable under all circumstances. Deposits are transferable to a future STEPOLOGY retreat up to 90 days before sailing (January 12, 2027). Transfer requests made after that date will not be honored. If no balance has been paid at the time of cancellation, only this deposit policy applies.
Balance payments are refundable on the following schedule:
- Cancellation 90+ days before sailing (before January 12, 2027): full balance refunded, deposit forfeited
- Cancellation 60–89 days before sailing (January 13 – February 11, 2027): 50% of balance refunded, deposit forfeited
- Cancellation fewer than 60 days before sailing (after February 11, 2027): no refund issued
All cancellation requests must be submitted in writing to yo@stepologyofficial.com. No other form of communication — including direct messages, text messages, or phone calls — will be accepted as official notice of cancellation. The date the written request is received at yo@stepologyofficial.com determines which refund tier applies.
If STEPOLOGY cancels or postpones the retreat, sailors will be offered a full refund of all payments made to STEPOLOGY or the option to transfer to a future retreat date. STEPOLOGY's liability is limited to amounts paid directly to STEPOLOGY and does not extend to travel, accommodation, or any other costs incurred independently by the sailor.
If Virgin Voyages cancels or modifies the sailing, their terms and policies govern that portion of the booking. STEPOLOGY will assist sailors in navigating that process but is not responsible for Virgin Voyages' decisions, modifications, or reimbursements.
5. Ongoing Communications
Throughout the lead-up to sailing, you will receive communications from both STEPOLOGY and Virgin Voyages. STEPOLOGY will keep you informed on retreat programming, balance due dates, roommate matching, and community updates. Virgin Voyages will communicate directly regarding your cabin, onboard amenities, port details, and sailing logistics. Both channels matter — please ensure you are checking both.

6. Traveler Responsibilities
Sailors are responsible for ensuring they meet all requirements to travel. This includes:
Passport: A valid passport is required. Your passport must not expire before October 2027. STEPOLOGY is not responsible for denied boarding due to invalid, expired, or insufficient travel documents.
Travel Insurance: Travel insurance is not required but is strongly recommended. STEPOLOGY does not provide travel insurance and is not an insurance provider. STEPOLOGY is not liable for costs incurred due to trip cancellation, medical emergencies, lost luggage, flight disruptions, or any circumstance preventing you from sailing. We encourage every sailor to secure a comprehensive travel insurance policy that covers cruise travel before final balance is due.
Assumption of Risk: Participation in STEPOLOGY programming — including step aerobics classes and shore excursions — involves physical activity and inherent risk of injury. By submitting a deposit, you voluntarily and knowingly assume all risks associated with participation in physical programming, whether caused by the condition of the facilities, the actions of other participants, or any other cause. You confirm that you are physically capable of participating in the activities offered and have consulted a physician if you have any health conditions that may be affected by physical exertion. Modifications are available in all classes but participation remains at the sailor's own risk at all times. You will be required to actively confirm this assumption of risk at checkout.
7. Age & Eligibility
This retreat is open to adults 18 and older only, in accordance with Virgin Voyages' adults-only sailing policy. No exceptions will be made. Reservations made on behalf of anyone under 18 will be cancelled and the deposit forfeited.
8. Liability
STEPOLOGY is not liable for injuries, illness, loss, theft, or damages sustained during fitness programming, shore excursions, onboard activities, or any other aspect of the retreat. Participation in all STEPOLOGY programming is voluntary and at the sailor's own risk.
STEPOLOGY is not responsible for the acts, omissions, cancellations, or policies of Virgin Voyages, shore excursion operators, transportation providers, or any third-party vendors. Any disputes regarding onboard experience, cabin conditions, or sailing operations should be directed to Virgin Voyages.
Indemnification: By submitting a deposit, you agree to indemnify, defend, and hold harmless STEPOLOGY, its founders, officers, team members, contractors, and partners from and against any and all claims, damages, losses, costs, and expenses — including reasonable attorneys' fees — arising out of or related to your participation in the retreat, your breach of these terms, or your violation of any applicable law or the rights of a third party.
Limitation of Liability: In no event shall STEPOLOGY's total liability to any sailor exceed the total amount paid by that sailor directly to STEPOLOGY for the retreat. STEPOLOGY shall not be liable for any indirect, incidental, consequential, or punitive damages of any kind.
9. Code of Conduct
STEPOLOGY is a community-first retreat. All sailors are expected to treat fellow participants, crew, and staff with respect at all times. Harassment, discrimination, or disruptive behavior of any kind will not be tolerated.
STEPOLOGY reserves the right to remove any sailor from retreat programming — including classes and group experiences — for conduct deemed disruptive or harmful to the community. Removal from programming does not entitle the sailor to a refund.
Conduct that violates Virgin Voyages' policies aboard the ship is subject to their authority and may result in removal from the sailing entirely. STEPOLOGY has no control over and assumes no liability for actions taken by Virgin Voyages in such cases.
10. Photography & Media
The STEPOLOGY Retreat 2027 will be documented through photography and video for use in STEPOLOGY's marketing, social media, editorial content, and promotional materials. By participating in the retreat, you grant STEPOLOGY a non-exclusive, royalty-free, worldwide, perpetual license to use your name, image, likeness, and voice in content captured during retreat programming, classes, excursions, and community events, without further compensation or notification.
If you do not wish to appear in STEPOLOGY content, you must notify us in writing at yo@stepologyofficial.com no later than 30 days before sailing (March 13, 2027). Opt-out requests received after that date cannot be guaranteed. We will make reasonable efforts to honor timely requests but cannot guarantee exclusion from all group footage.
11. Force Majeure
STEPOLOGY is not liable for cancellations, delays, or modifications caused by circumstances beyond our reasonable control. This includes but is not limited to weather events, natural disasters, pandemics, epidemics, government travel restrictions, port closures, acts of war, or actions taken by Virgin Voyages outside of STEPOLOGY's control.
In the event of a force majeure situation that prevents the retreat from proceeding as planned, deposits will not be refunded but may be transferred to a future STEPOLOGY retreat at STEPOLOGY's discretion. Balance payments paid to STEPOLOGY will be evaluated on a case-by-case basis. STEPOLOGY's obligation in a force majeure situation is limited to amounts paid directly to STEPOLOGY and does not extend to any independently incurred costs including but not limited to airfare, hotel, or travel insurance.
12. Governing Terms
These terms constitute the full agreement between STEPOLOGY and the sailor at the time of deposit. STEPOLOGY reserves the right to update these terms at any time with reasonable written notice provided to all confirmed sailors via email. Continued participation in the retreat following any update constitutes acceptance of the revised terms.
Governing Law: These terms shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions.
Dispute Resolution: In the event of any dispute arising out of or relating to these terms or your participation in the retreat, the parties agree to first attempt resolution through good faith negotiation. If negotiation fails, disputes shall be submitted to binding arbitration in Miami-Dade County, Florida, under the rules of the American Arbitration Association. Each party shall bear their own costs unless the arbitrator determines otherwise. You waive any right to participate in a class action lawsuit or class-wide arbitration against STEPOLOGY.
Severability: If any provision of these terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
